Repair
CellSmart POS allows you to take repairs and create repair tickets for your customers with necessary info such as IMEI, price, password and etc. You can keep track of how many repairs are done, pending or can't be fixed. Keep track of how long a phone has been waiting for a customer to pick up, send your repairs to a third party, allow your clients to loan a phone while their own phone is being repaired, store pictures of the damaged devices and store every detail regarding your repair in the Repair's module.
Creating a Repair
- Click on the New tab, the third option from the left on the menu bar at the top.
- Click on the Repair icon from the icon menu.
- Enter the customer's name in the customer name field.
- The name of the client will appear in the name field.
- If the client does not exist the software will ask you to create a new client, click OK.
- Create the client.
- Enter the name of the product in the Search Product field.
- Select the product from the list of products within the product window. (if the product does not exist the software will notify you, and give you the option to create a new product)
- Enter the IMEI number of the repair device in IMEI field.
- Enter the repair device's password in the password field or the pattern by clicking on the small pattern icon.
- (Optional: Enter the Diagnosis fee in its appropriate field if necessary)
- Enter the repair price.
- (Optional: Enter a deposit amount in deposit field if the client is depositing an amount.)
- Click on the Price list tab within the repair window.
- Select repair issues that apply and enter their price.( Note: Repair price will change accordingly)
- Click on the items used tab in the repair window. ( Note: the items used tab tells you the total amount of repair parts you have entered and how much they need to be)
- In the Inventory used tab below, you may enter the repair parts that will be used for the repair by entering the Item code/ name of the repair part in the item code field.
- Select the product from the list of products within the product window. (if the product does not exist the software will notify you, and give you the option to create a new product)
- Enter the price of the repair part in the price field.
- Click the shopping cart icon to ring up the repair part.
- Repeat steps 17-20 to add more repair parts to the repair.
- Enter any other necessary information in repair module.
- Click save.
Taking Payments
Your customers can pay anytime for their repair. To take payments you may:
- Click on the List tab, the fourth option from the left on the menu bar at the top.
- Click on the Repair icon from the icon menu.
- Select your repair from the list of repairs.
- Click on the payment button from the options menu.
- In the repair payment window, enter the payment amount in the pay now field at the bottom.
- (Optional: Enter any customer notes.)
- Click Checkout.
- Select your payment method.
- Click save.
Editing repairs
To edit your repairs you may:
- Click on the List tab, the fourth option from the left on the menu bar at the top.
- Click on the Repair icon from the icon menu.
- Select your repair from the list of repairs.
- Click on the Edit button from the options menu.
- Make the necessary changes.
- Click save when done.
Closing/ Delivering Repairs
Once your customer has paid the full amount for the repair and the device is ready to be delivered, you may then close or deliver the repair. To do so you may:
- Click on the List tab, the fourth option from the left on the menu bar at the top.
- Click on the Repair icon from the icon menu.
- Select your repair from the list of repairs.
- Select whether the repair was fixed, not fixed or working by clicking on the small drop down menu.
- Then, click on the Truck icon from the options menu to deliver/close the repair.
- If necessary, enter the parts used in the repair in the Used inventory tab to match the repair's price. ( Note: This is necessary when the total repair price does not match with the repair price that is required. Therefore, software will request used repair items to be entered to balance the repair amount.)
- When the repair prices that you have entered matches the price which was needed for the repair, you are ready to deliver the repair. To deliver the repair you may click on the deliver button. The software will ask you to close the case, you may click OK and the repair will be closed, with a repair receipt printed.
Sending a repair complete text
Once the repair is complete and ready to be delivered/close, you have the ability to notify your customer by sending them an alert message stating that their phone has been fixed and available for pickup. To do so you may:
- Click on the List tab, the fourth option from the left on the menu bar at the top.
- Click on the Repair icon from the icon menu.
- Select your repair from the list of repairs.
- Click on this button and a repair message window will pop-up .
- The window will have the repair information listed such as the repair ID number, customer's name, repair price and the paid amount. Before you send out the text, you must have a prepaid balance of at least $.02 since each text will cost you that amount of money.
- Edit your text if necessary and make sure the customer's phone number is valid.
- Click on Send message to send the message.
Adding Repair images
- Click on the List tab, the fourth option from the left on the menu bar at the top.
- Click on the Repair icon from the icon menu.
- Select your repair from the list of repairs.
- Click on the Edit button from the options menu.
- Click on the Captured Images tab.
- If you're uploading a picture from your PC click on the From Computer icon on the left and if you're taking a picture using your camera click on the the Camera option on the right.
- If you're uploading from computer, select the location of your file and click on Open.
- Click save when done.
Tabs Within The Repair Module
Repair Item
The Repair item tab allows you to enter information such as the Repair device's information, repair notes, repair payment information such as diagnosis fee, repair price, tax amount, repair deposit.
Additional Info
In this tab you can enter an alternate contact number of the client and select the carrier associated with it. Enter the loaner phone information, and select the applied repair device's conditions from the conditions given.
Price List
The price list tab allows you to select different Repair issues of the device being repaired. When you select a device to repair, the repair issues related to that device will be listed under the price list tab which you can select. Each repair issue under price list has its own price, and the repair price will be determined based on the price list amount.
Items Used
The Item used tab provides you with the repair price detail, third party repair entries, inventory used in the repair and other necessary information. This tab provides you with the repair price amount that is needed to be entered based on the repair price you entered when creating the repair. It also tells you the amount that you have entered currently and gives you a bar representation of your repair amount progress.
Captured Images
- Inventory Used Tab: This tab allows you to enter the repair parts that are being used from your inventory to fix the repair device.
- Outside Repair Tab: This tab allows you to enter third party repair information such as the vendor name and how much it cost you. ( Note: Third party repairs are repairs that are not done in your store and are sent to other stores for repair. )
The captured images tab allows you to store pictures of the repair device by uploading them from your PC or by taking new pictures by selecting the Use camera option. ( Note: In order to take a picture from your computer you must have a webcam connected to your PC.. )
